How to Upload — Partner Quick Guide
You do not need special software or training to add files to the Collaboration Hub. The upload tool walks you through four short steps. This guide is written for partners and new users. For the full technical reference (fields, file-type table, error list), see the Upload guide.
What You Can Upload
- Common document types: PDF, Word, Excel, PowerPoint, plain text, CSV, images (JPG, PNG), and KML location files.
- Compressed archives such as ZIP are accepted and stored as-is.
- Each file can be up to 1 GB.
- You can upload several files at once — files uploaded together form a batch and share the same details and tags.
The Four Steps
- Describe the upload. Give the batch a title and answer a few questions: your organization, the document type, the project, and where the work was done. If a question does not apply, select or type N/A — that is expected and fine.
- Add your files. Drag them into the box, or click to browse your computer. You can add several files in one go.
- Add tags and choose who can see them. Pick or add short descriptive tags. Then choose visibility: Private (the default), Internal, or Public. If you are unsure, leave it Private.
- Review and upload. Check the summary, then upload. You will see a result showing how many files succeeded and, if any failed, their names.
Who Can See Your Files?
| Visibility | In plain terms |
|---|---|
| Private (default) | You, authorized organization or shared-project members, and hub administrators. Use this when in doubt. |
| Internal | Signed-in users who have protected-search access. |
| Public | Anyone, even without an account. Choose this only if the file is clearly suitable for wide sharing. |
Documents marked sensitive can never be published as Public. See Access Levels for the full details.
What Happens After You Upload
- Your files are stored in the archive and appear in the Documents tool.
- A manager or administrator reviews and approves them.
- Approved files become searchable by the people who have access.
- Files that are Public can later be published to the Published page by an administrator, where anyone can find them.
Tips for a Smooth Upload
- Give every upload a clear, descriptive title — it is the first thing other people see.
- Only group files in one batch when they all belong to the same project and share the same type and location.
- When in doubt, choose Private — it is easier to widen access later than to explain why a file was made Public.
- Keep a local copy of anything important.
- If a file fails, its name is listed after the batch finishes — fix the issue and upload just that file again.
